The final PDF copy of the newsletter should be as small as possible but definitely under 1 megabyte. The 2007 newsletters average between 200 and 500 KB.
Large PDF files may take a long time to download and may cause other problems in the process of downloading. All images and graphics should be of a size that provides a clear print but still as small as possible to keep the overall size of the entire document under 900 KB.
Material is gathered for the newsletter from SNU members, the website, and other sources. All material is reviewed for copyright considerations and any copyright or permissions are received prior to publication. The photo gallery of the latest SNU activity will be set up by the Leipper's and posted on the web. These pictures can then be used in the newsletter as needed.
An html document is created and then posted in the unlinked draft section of the website. An email is then sent to the SNU President and the newsletter layout and design person. The L&D person then cuts and pastes the content into the newsletter template, add photos or other images, and in general sets up the newsletter.
The Leippers will set up all links to materials mentioned in the newsletter on the newsletter index page. This includes the link to photo galleries, and to the next upcoming SNU activity.
Once the draft is set up, a PDF is created and emailed to the Leipper's. The Leipper's then post this PDF in the draft section and an email is sent to the SNU President and the newsletter layout and design person. Once any changes, additions, feedback or ideas have been received, the Leipper's will update the html version, post it and notify the L&D person who will then create a final version of the newsletter.
The final version PDF is created and emailed to the Leipper's After final review it is posted on the website and an email announcement is sent to all subscribers notifying them of the posting of the current newsletter. A notice is also posted in “What's New” in the Zephyrs weblog. The SNU member's (currently the Thornburgs) print out copies of the PDF file and mail it to the SNU snail mail list.
Currently the Leipper's maintain the SNU membership database and they are responsible for ensuring the (Thornburg's) have the current and complete list of people to mail the newsletter to.
