Caravan Leader's Checklist

For the Camp Host or Caravan Leader in taking care of group needs to get properly situated at camp.

At the Rendezvous

Check

Make sure members of the caravan know how to get to the next destination


Maps


Written direction

Be prepared to greet caravanners at the next destination


Stop host should arrive early - before the designated arrival time


Have a bulletin board with important information for the stop such as emergency service contact, laundromat, religious services, schedule of events for the stop, points of interest

Driver's meetings


Prepare schedule and agenda


Start on time and follow good meeting practice


Make sure every rig is represented at the meeting

Have introductions


Distribute manuals and materials


Review manuals and materials


Review itinerary to first stop


Answer questions


Review duty crew roster, rules, and expectations

Verify arrangements for each camp and event several days or more ahead to reconfirm reservations and other special arrangements


Schedule driver's meeting the night before each move


Insist caravanners do not arrive at stop prior to designated time to avoid confusing stop staff


Run through driving instructions step by step


Plan for the unplanned, anticipate the unexpected, be patient and flexible


Make sure no one travels alone.


Identify next stop host (don't pass him) and the caboose (don't let them pass you)

Resolve problems early - hopefully before they are fully apparent

Manage breakdown support if necessary


Make sure everyone knows how to contact other caravanners or other necessary resources


Seek out suggestions for alternate routes or additional attractions from those who may be familiar with the territory
